1. The service
JoinedInbox is an email aggregator. You connect email accounts you already own (any IMAP-compatible provider) and the service fetches copies of your mail into one unified inbox, and sends mail out through each connected account's own SMTP server.
We are an aggregation layer, not a mailbox host. Your provider remains the owner and custodian of your actual mail account at all times, the originals stay with them, and we never take over your sending reputation. Connecting an account to JoinedInbox does not move, migrate, or take control of that mailbox.
An optional per-account setting can delete a message from the source mailbox after it has been fetched. It is off by default, and switching it on requires an explicit confirmation in the interface.
These Terms should be read together with our Privacy Policy and our Acceptable Use Policy, both linked at the foot of this page. Where you are a business customer processing other people's personal data through the service, our Data Processing Addendum also applies.
2. Your account, owners and members
Every subscription has exactly one owner — the person who signed up. The owner controls everything structural: connected mailboxes, billing, team membership, and account deletion.
Single plans are for one person: the owner, with no additional users.
Teams plans additionally let the owner create members, up to the limit of the chosen plan. Members:
- sign in with their own username and their own password, separate from the owner's;
- are created by the owner, who also sets and resets their passwords — there is no self-service password reset for members;
- see only the mailboxes the owner has granted them access to;
- can read, reply, organize and manage tasks, but cannot change billing, connected mailboxes, or team membership.
Because JoinedInbox is a shared workspace, mail state is shared across everyone in the account: read and unread status, stars, labels, tasks and drafts are common to the whole team rather than private to each member. Only display preferences are per-person. Please take this into account when deciding who to give access to.
Disabling or deleting a member immediately ends that member's sessions. It never deletes shared mail.
You are responsible for keeping sign-in credentials confidential, for who you grant access to, and for only connecting mailboxes you own or are authorized to access. See the Acceptable Use Policy.
There is no two-factor authentication in this version of the service.
3. Plans, payment and renewal
Subscriptions are sold in two lines — Single and Teams — each in several storage tiers. The storage, connected-mailbox and member limits that apply to you are those of the plan you have chosen, as shown on our pricing page at the time of purchase.
- Subscriptions can be billed monthly or annually, in advance, via Stripe. A payment method is required at signup; there is no free trial.
- Paying annually costs the equivalent of ten monthly payments for twelve months of service.
- Prices are shown before purchase and are inclusive of any applicable taxes.
- Promotional codes, where we have issued them, are entered on the secure checkout page and the resulting discount is shown before you pay.
- Subscriptions renew automatically on the payment method on file. For annual subscriptions we email a renewal reminder 30 days and again 7 days before each renewal. Monthly subscriptions renew without a reminder.
- We may change our prices, but a change never re-prices an existing subscription: your renewals continue at the price you originally bought at until you yourself change plan.
Refunds
- First purchase: a 14-day money-back guarantee, no questions asked.
- Renewals: refundable within 14 days of the renewal charge.
- Outside those windows, refunds are at our discretion, on a goodwill basis.
- Refund requests are handled by contacting support.
Where you are a consumer, any statutory cancellation or refund rights you have under applicable law apply in addition to the guarantee above, and nothing in these Terms limits them.
Changing plan
- Upgrading takes effect immediately, with a prorated charge for the remainder of the current billing period, and your storage quota increases immediately.
- Downgrading, and switching from annual to monthly billing, take effect at the next renewal rather than immediately.
- A plan change is refused at request time if the target plan would not fit your current usage — that is, if it would give you less storage than you are using, fewer connected mailboxes than you have, or fewer member seats than you have created. Free up the relevant resource first, then change plan.
- If your usage grows past a scheduled smaller plan's limit before the downgrade takes effect, the downgrade still happens as scheduled and the storage-full behavior in Section 4 applies until you free space or upgrade.
4. Storage quota
Your plan's storage quota covers the combined size of everything the service stores for your account — fetched mail, sent mail, drafts, and attachments, across every connected mailbox. Deleted mail still counts toward the quota until it is purged from the trash.
When usage reaches 100% of your quota, the only effect is that fetching new mail pauses. Reading, searching, sending and deleting all continue to work normally, and we never delete your mail to make room. Fetching resumes automatically once usage drops back under the limit, or immediately on upgrading to a larger plan.
We warn you by email once your account passes 95% of its quota.
5. If a payment fails
If a renewal payment fails, Stripe automatically retries it over roughly the following two weeks. During the retry period your account keeps working normally, with a banner noting the payment problem.
If every retry fails, the following staged timeline begins, and every stage is notified by email to the account address as it happens:
- Grace — 14 days. The account keeps working normally.
- Suspension — 30 days. Fetching stops and the account becomes read-only: existing mail stays readable and exportable, but nothing can be sent or added.
- Expiry — 60 days. Sign-in is blocked except for a page that lets you reactivate or export your data. We send deletion warnings 30 days, 7 days and 1 day before the end of this window, and each of those emails states the exact date on which deletion will happen.
- At the end of the expiry window, all account data is permanently deleted.
Reactivating at any point before final deletion restores full service.
6. Cancelling your subscription
You may cancel at any time. The service continues until the end of the period you have already paid for, with no partial refund for the unused portion (the refund windows in Section 3 still apply where relevant).
After the paid period ends, your account data is retained for 30 days, during which you can export it or reactivate, and is then permanently deleted. We email you before that deletion, stating the exact date.
7. Deleting your account yourself
You can permanently delete your account and all its data at any time, from Settings. This is a two-step process: you confirm in the application with your password, and then open a confirmation link emailed to the account address, valid for one hour. Nothing is deleted until that link is opened, and the request can be cancelled before then.
Deletion also immediately cancels any active subscription. It cannot be undone. Export your data first if you want to keep it.
8. Availability and warranty
We provide the service with reasonable skill and care. Beyond that, the service is provided "as is": we do not offer a contractual service-level agreement or a guaranteed numeric uptime figure at these price tiers. Any availability figure we publish is a target, not a promise.
We depend on services outside our control — in particular your own mail providers, whose availability, rate limits and policies determine whether we can fetch or send on your behalf.
9. Liability
Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot lawfully be excluded or limited. Where you are a consumer, your statutory rights are unaffected.
Subject to that, and to the maximum extent permitted by law:
- our total liability to you arising out of or in connection with the service is limited to the total fees you paid us in the 12 months before the event giving rise to the claim;
- we are not liable for the unavailability, loss, alteration or deletion of mail in your source mailboxes. Those mailboxes belong to your own provider, not to us;
- the service holds copies, not originals. Except where you have expressly enabled deletion from source, your original mail remains with your provider, and our liability for loss of data is limited accordingly to the copies held within the service.
10. Ending this agreement
We may suspend or terminate an account that violates the Acceptable Use Policy or these Terms — including, without limitation, connecting a mailbox without authorization, unlawful use of the service, or abusive use of its sending or fetching capacity.
11. Changes to these Terms
We may update these Terms as the service develops. The current version and its effective date are always shown at the top of this page. Where a change materially reduces your rights, we will give reasonable notice by email before it takes effect.
12. Governing law
These Terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute arising from them.
